Why use managed email infrastructure
Managed email infrastructure gives your workspace dedicated outbound domains and inboxes for campaign email. This keeps outreach separate from primary work mailboxes and lets new inboxes warm up before they are used in live campaigns.
Use it when your team plans to:
- Run cold email outreach from TalentSourcer AI.
- Send outreach from dedicated recruiter or persona inboxes.
- Avoid using a primary personal or company mailbox for campaign sends.
- Prepare multiple outbound inboxes before a hiring push.
Start early. New managed inboxes need about 28 days of warmup before they should be assigned to live campaigns.
What gets set up
The managed setup flow can create:
- One or more dedicated outreach domains.
- DNS records needed for sending, receiving, authentication, and domain redirects.
- Managed inboxes on those domains.
- Sending connection and warmup for each inbox.
- A redirect for the root domain and
wwwhost to the destination you choose during setup.

You can also open it from Settings -> Manage Personas -> Connected Email Inboxes -> Managed Inbox Setup.
Setup steps
- Search for an available domain.
- Select the domain you want to use for outreach.
- Enter the registration contact details.
- Add the first managed inbox for the domain.
- Review the quote and complete checkout.
- Wait for provisioning to register the domain, configure DNS, create inboxes, and connect sending.
- Let the inbox warm up before assigning it to a persona.
Provisioning often completes quickly, but DNS and verification can take time. Warmup is separate from provisioning and is expected to take about 28 days.
Warmup and assignment
Managed inboxes appear in Manage Personas while they warm up.
During warmup:
- Campaign sending is locked for that inbox.
- Persona assignment is locked until warmup completes.
- The inbox can still appear as connected because the technical setup is complete.
After warmup completes, the inbox becomes available for persona assignment and can be used in live campaign email steps.
Add more inboxes later
You can add more managed inboxes to an existing managed domain from Manage Personas.
Add-on inboxes are prorated to the current domain renewal date, so the domain and its inboxes can renew together later. A domain can have a limited number of managed inboxes.
Removing inboxes early
If you delete a managed inbox before the end of its paid period, the remaining unused value is returned as infrastructure credit.
Infrastructure credit can be reused for future managed inboxes, additional domains, or other managed email infrastructure purchases. It is applied automatically during eligible infrastructure checkout.
Infrastructure credit is not paid out as a cash refund.
Renewals
Managed domains do not auto-renew inside the setup flow. Renewal uses a separate checkout and an operations completion step.
When a domain approaches renewal, follow the renewal prompt in the app. You can choose which attached inboxes should renew with the domain.
Best practices
- Start managed setup before generating your first email-heavy campaign.
- Use dedicated outreach domains, not your primary corporate domain, for cold outbound.
- Keep daily send limits conservative after warmup.
- Assign each warmed inbox to the persona that should represent it in campaign replies.
- Do not delete or disconnect inboxes while a campaign is live unless you want future campaign steps to stop or defer.
